My direct contributions to this event was art & creative direction for this Las Vegas hospitality event, design team management, project manager and event planner. I managed local outsource vendors and the hotel marketing team. I even worked the event to make sure everything ran as planned.

 

PROBLEM

Create the look and feel for a special customer hospitality event held in Las Vegas during the largest annual video security trade show. It was important to create a buzz and have our guests feel they are invited to something very special.

PROCESS

  • Meet with the company’s Event Director to get understanding of project scope, budget, timeline.

  • Produced a Creative Brief outlining details of the projects - and share possible themes.

  • Assign the creative concept to a designer to start work on the invitation package.

  • Source local vendors to assess potential of what kinds of creative we make for the space.

  • My Marketing VP also asked for a special one-of-a-kind of promotional piece to give away at this event and that connects the creative and the trade show exhibit. I suggested a “Sinatra-style Fedora Hat”.

  • I presented 3 party plans with 3 budget ranges.

  • Oversaw all production, from construction vendors to my designer. Gave progress reports to Event Director and the Trade Show Team.

DELIVERY

This project had many parts and many deadlines. It starts with making sure Invitations are distributed very early and ends with making sure the construction vendor delivers everything on time at the hotel ballroom.

 

OUTCOME

This event was a hit. The creative was extended to the exhibit booth and the Sinatra-style Fedora was a super-success. Hundreds of people were seen wearing them the days after this Hospitality Event.  

RESPONSE

Because it was a good event, we had the Video Team shoot the event, we were able to share the video experience to our guests using an email campaign. It also was placed on the company website for a limited time. This event was also photographed for a story in the company magazine.

BARRIERS

This event has a lot of moving parts so organization is important. Events are hard deadlines that can’t be missed. Making this event memorable starts with the creative and designing an experience that will be remembered.
